Registration and Events Management Strategy, Assessment & Adoption Roadmap

The Challenge

Swimming Canada needed to address adoption challenges following the national rollout of its new Registration and Event Management System (REMS). The organization required an independent assessment to determine whether gaps across people, process, and platform could be resolved through optimization or warranted a transition to an alternative solution.

What We Did

Differly conducted a systematic assessment of REMS against original business requirements, identifying functional barriers, usability gaps, and adoption risks among provincial members.
Established a cross-functional Process Governance Committee and developed a formal charter defining ownership and standardization of national registration and event processes.
Mapped high-priority registration processes end-to-end and validated workflows with users ahead of the peak September registration cycle.
Defined and optimized centralized support, escalation, and release management processes.
Facilitated working sessions with national and provincial leadership to align on success measures, decision-making frameworks, and roles and responsibilities.
Documented the existing technology stack, integrations, and data sources to support future scalability and interoperability
Provided strategic advisory support to mitigate near-term risks ahead of the 2025 registration season and establish a long-term governance roadmap.
